Event Planning

Weekly Report: ##/##/##-6/11/19

by Phoenix
06/ 11 / 19

1. Agenda
The agenda up to February for the Event Planning department has been posted in the appropriate threads.

2. Chess Tournament
The chess tournament had been executed, although it was not a success.  I have made personal notes of things to try different for next time.

Observations:
  • Not many people actually participated in the tournament itself.  We had maybe 5 people at most sign up.  In this case it would have been better to manually set up the matches.  Next time I think an initial sign-up 1-2 weeks before the event to see how much interest is generated would help avoid the issue and may garner more of a response.
  • Not enough hype surrounding the tournament.  I will work on creating more hype and getting other fellows to join in advertising.

3. Ejection Contest
The Ejection Contest has been planned out.  The Project Leader is Concrete Slab.  Laura wrote the RMB rules, Mira wrote the WFE.

4. Autumn Festival
I have begun planning out the Autumn Festival, and the full proposal will be sent out by Friday this week.

MEDIA DEPARTMENT

Weekly Report #1

by Kris Kringle, Senior Fellow
07/11/19

Coconut Press
I have encountered an issue with the submissions for the Coconut Press in the sense that, except for Omega's submission, I don't believe any are of sufficient quality for publication. I am using past issues as the standard for the level of quality that I expect for submissions, and that ones that we have quite simply aren't up to the task, in my opinion.

I hope to have a think this Thursday about what kind of submissions I'd want to have for the issue to have a coherent story or sequence, and then make some specific requests and approach specific people (for example, Roavin is good at conducting interviews). I know that Qvait can be rather good at writing, so I hope to have another look at his submission and see how he could rework it; I'm not sure about its current form, but I think the potential is there if we do some work on it.

I would very much like to have at least a few submissions ready and sent for proofreading by the end of the week, aiming at publication or at the very least final formatting by the end of next week.

CocoPress Weekly
As per the plan I outlined for this project, writing for it won't begin until Friday. I have, however, reach out to Prarie, since they expressed interest in CocoPress Weekly we can start discussing how to make it happen. I also plan to ask Graphic Design to prepare a logo for this publication.

I won't have much else to report for this project until I can talk with Prarie and have a better idea of where we stand on it, particularly with regards to the realities of making our first issue.

Real Time
I have already been having a conversation with Omega and Penguin, the hosts of Real Time, about which people we could interview. My hope right now is to start with some of our leading officials, particularly Ministers, and then perhaps begin enlisting some recurrent guests who could talk about regional news in a more panel-like format.

Penguin has a more foreign-centric list of desired guests, which we can definitely look into, but I'd rather hold off on it for a bit, while we get things working well with our own regional guests. If we get that working, it might make it easier to look credible enough to have foreigners agree to appear on Real Time.

I would very much like to have our first podcast for this season this weekend or next week, depending on our hosts' and guests' schedules.

Meet the Region
I haven't dedicated much planning time to Meet the Region, but I would hope to assign time this week to do just that. This would involve figuring out which Fellows have expressed interest in this project and having a meeting with them to see what our expectations are, what the challenges are and how to best implement the project.

I would hope to have a better defined plan by next week's report.

Weekly Report #1

by Johngi, Senior Fellow

The Academy of the South Pacific
...Has got a name! Our division has been brainstorming for a few days, and I think this is the best name. Anyways, the Academy of the South Pacific (ASP) is now starting initial drafts of what it is going to be. The current draft, as it is, is to have lessons with informational material linked in a channel and narrated via comments. Then, there would be an easy tag so that students can ask questions easily in the discord. We are also planned to make the university easily accessible via links from the welcome committee. All nations that have shown interest and joined the TSP main discord will get a message asking if they need any help and a link to the ASP if the current plan continues.
Community changes
We have been thinking about this a lot! One of our larger problems is how to award milestones, considering they would cover discord, forums and nationstates. Our current best idea is a combination of all three, but we will be examining the idea more as we go on. As you may have noted, currently everything here is in the planning stage. While the dispatch organisation is in full swing, we will refer you to USoVietnam on details for that.

The Academy of the South Pacific
We've been working on the backend side of the ASP for some time, and it's been going good so far. The discord is created, and we're just figuring out the nitty-gritty details at this point. Also, there is a guide out on its first draft, which contains everything about the ASP and will be made into a public dispatch after we have everything worked out.

I have also reached out to USoVietnam for co operation between the ASP and the dispatch organisation team. At the time of writing, he hasn't replied, but we hope to someday include all the information in our lessons somewhere in the dispatch system.

After the discord and the ASP's style is done, we will start recruiting teachers. We think we should be able to, if things go well, start this recruitment the week after next week at most.

Weekly Report: 06/11/19-13/11/19

by Phoenix
13/ 11 / 19

TSP Ejection Contest:
The TSP ejection contest is going to be set for the 14th of November.  There is a list of minigames that we will be conducting during the event.

TSP Advent Calendar:
I have begun researching for the Advent calendar and plan to have more work done regarding the calendar later.  For now, my idea regarding the advent calendar involves getting together with all event planning fellows and coming up with a list of activities we could do each day until Christmas.  Current ideas include providing researched information regarding holidays around the globe, a TSP Christmas tree, and a holiday music karaoke day.

Autumn Festival:
The Autumn Festival has been cancelled in favor for more extended Ejection Contest and Advent Calendar planning.  Winter Solstice Festival will still be planned out, perhaps even as a part of the Advent Calendar.

The agenda has been changed on the google document and will be updated on the announcements page later today.

MEDIA DEPARTMENT

Weekly Report #2

by Kris Kringle, Senior Fellow
14/11/19

Coconut Press
Following an individual review of the Coconut Press and a private conversation with the Minister, it has been decided to discontinue the magazine format of the Coconut Press and instead relaunch it as a regular news service that releases timely and regular articles, analyses and opinion columns, rather than relying on a high-maintenance monthly issue.

Pursuant to the above decision, a plan will be developed this week for the regular publication of articles and the possible publication of articles of sufficient quality that had been written for the magazine.

CocoPress Weekly
I have asked Prarie to have a draft issue by this weekend. I will review his submission, make any necessary edits and then publish it. While I wait for the submission, I will review formats used for prior issues and decide if that is what will be used, or if any changes are necessary.

Real Time
We have been having some difficulty in defining a list of guests and a broadcast schedule. This week's discussion on the aims and strategy of Real Time might help make it easier to know what we expect from the project. Penguin already secured some guests, but I still would like to close the discussion on the project's goals before committing on regular broadcasts.

I suggested a survey to determine what the public wants, and I stand by that. I would like us to have a discussion on how to best approach that.

Meet the Region
Penguin was told by Amerion that they would prefer a written interview over an audio interview. I will ask Roavin, who is skilled with, and interested in, conducting interviews, to interview Amerion. My goal would be to interview or have Q&A sessions with the whole Cabinet and other principal officials (Chair, Chief Justice), so they all may have a chance to talk about their policies, goals and about themselves as people who play this game.

I would hope to have initial results by next week's report.

I would like to thank you for the updates.

I would like to provide some feedback on this week's reports.

Integration:
I do not think that lesson transcripts should be involved in the dispatch system. Please don't forget, that the dispatch system is there as an integration tool, and although some talks will be about integration-y stuff, uploading many talks to the dispatch system would just be a waste of energy and time. Other than that, I have contacted the LC about the academy and TSPU, and they seemed to be interested. So far, we have only had preliminary discussions, but we will keep you in the loop for that in the weeks to come.

Events Planning:
Excellent! I would appreciate if you could hand me a preliminary plan about the advent calendar in the next few days.

Media:
I think you should also find a list of guests for meet the region. We have also discussed ways to find media engagement. Please share the draft of the Coco Weekly with the minister when it is ready.

Activity:
I would appreciate if all senior fellows, with the exception of Kringle, who has already done this, to do something like this:
Media Maskings.

I will update the roster, and will share it with you, so that you can pinpoint the names of the people that haven't responded. I would also appreciate if you could send a DM to new arrivals to your department, and explain to them how everything works, and our expectations.

Code of Conduct:
I have received some complaints about a senior fellow's conduct. Remember: we must always act professionally, and always think about how we behave in professional settings.  have not reached out to the senior fellow in question, as I believe that it is their responsibility to reflect on their actions, but, if it happens again, I will reach out to the senior and give them one more warning, before they lose their position. Although advice from seniors is always appreciated, there is a way to deliver that advice without being antagonistic, or intimidating. Please also remember, that I will encourage you and every other fellow to contribute ideas and advice to the ministry, but, please remember, at the end of the day, the minister's voice is final, and if I say "no", there is a reason for that, even if you disagree with it.

Thanks,
Aggie.
