Staff notes
  • Do not use DM or private group chats for any official work in the ministry. Always use this server for any planning, requesting, discussion, update,... DM and private chat groups should only be used in highly exceptional cases with approval from the minister.
  • If you need any help on anything or want to complain about something, no matter how silly the question/request/complaint is, ask anyone, it is recommended to ask your project's coordinator or ask minister @USoVietnam for the most accurate response. If your needs are sensitive, you can and should DM.
  • Remember to have fun! This is a game, work at your own pace, ability and enjoyment. Any deadline or expectations are pretty much just for reference, but if you need to be away for sometime or can't meet deadline/can't do something, notify your project's coordinator or minister @USoVietnam so they will help or reassign your work to others.

2020/11/21 update
Ministry of Engagement

  • The office has been setup: After a month, we have finished setting up the Discord channels, Trello boards, and important documents such as roster and application form. The forum space still hasn't been finished though as threads for some projects haven't been made yet. If there is no major issue happens, the current office space will stay the way it is for the foreseeable future.
  • Unified Application Process: The Cabinet has roughly decided on what the application form should have. The form plugin of the forum is currently being customized to provide selective visibility to some options (e.g. selecting the SPSF box will open SPSF-specific fields). Since the ETA for this is longer than expected, we are planning to setup a temporary means to make sure members of the region can apply during this transition process.
  • Dispatch Renovation Project: The project is currently in the proofreading stage for some government-related dispatches. The Delegate and one part of the High Court dispatches are finished. The Assembly, Cabinet, Legislator Committee, and Election Commission dispatches are still work-in-progress. The Security, elections, and getting involved ones will be done in the future after discussions on their content are done. The dispatch software is nearing completion again after the disastrous accidental deletion of one month of progress a few weeks ago. A Google Sheet accessible by relevant staff has been set up to serve as a temporary means to edit dispatches until we make the web tool for this purpose. During October, the comprehensive plan for the project and the final design standard for the dispatches were decided. The optimistic ETA to get some of the dispatches online is 2 weeks. We are planning to get them up incrementally since some dispatches such as the regional factbook will take a long time to write.
  • Telegram Project: During October, we roughly decided on the criteria for nations to send recruitment telegrams to. The current draft of this is available in the Trello board of the project. Work on actually developing a script for it and writing telegram content is planned for the future but for now we have to prioritize the dispatch project.
  • Logos for new ministries: The graphic design team is currently working on this with a certain level of adherence to proposals submitted during the September logo contest. Since this requires RL expertise and the graphics team has been busy lately, we cannot give an ETA on this one. The new ministries will have to temporarily use the TSP logo during this time.
  • Polynesian theme project: No progress since the graphics team has been focusing on the logos.
  • TSP Wiki: The guide to WikiText which will assist newcomers who want to work on this project is currently being worked on. Until that is done, we expect to see no substantial progress on the content of the Wiki.
  • Card Program: We have been just brainstorming ideas about this one during the last months. Most discussions right now focusing on what cards to reward to players to get an estimation of the card consumption rate so we can setup the appropriate infrastructure and workflow for this part of the program. Early efforts to collect rare-above TSP cards has started with the creation of a temporary storage nation and the transferring of cards from the private farms each team member has to it. We also invited Bawkie, TSP's highest DV trader to the team recently and planned to invite traders from other regions in the future to assist us on the planning of the project.

2020/12/08 update
Ministry of Engagement

  • Logos: All logos of Cabinet ministries are done. We are currently resizing and uploading them to our GitHub and Imgur accounts. Some logos, such as the Delegate, the CRS, and LegComm logos, are still a work-in-progress.
  • Theme project: The ministry logos aspect of this one is nearly done. The flag redesign will be put on hold until regional members feel comfortable of the new logos.
  • Dispatch project: Proofreading for independent institution dispatches are done. Cabinet dispatches and a part of the Assembly dispatches are still WIP. Miscellaneous stuff such as government official names and contact information reference sheets have also been done. A recent update of Python broke one of the dependencies the dispatch software relies on so we spent much of the time fixing that in the past weeks. Next week, we should have finished enough of the software for a real test-run. The remaining thing to work on is the handling of dispatch ID.
  • Telegram project: No progress
  • Wiki Project: Likely will be put on hold since its coordinator (Rabbitz) will be busy for the foreseeable future. If we can find a replacement, however, it will still continue as normal.
  • Card Project: We have finished placing bids on all rare-above TSP cards and transferred all valuable cards from Kiwicards to our storage nations (Southern Fort Knox nations) in preparation for season 3, when season 2 cards will be difficult to get. We are currently on discussing the setup and procedures of farming cards to use as rewards. As usual for these kinds of projects, we have and will contact experienced people of other regions' card programs for advice.
  • Unified application process: We have settled with using an unmodified version of the form plugin as temporary means for applying to work in ministries. The complex application setup that some ministries need may lead to us having to set up a dedicated webpage for the final application system.

2020/12/26 update

 
  • Dispatch project: The dispatch management software is finally done after half a year of procrastination by its main developer and has been successfully tested with simple dispatches. We are tidying it up for production uses (adding error handling, logging, packaging,... to make eventual deployment on the server easier) and will test it on all actual dispatches we have worked on with the official dispatch design guidelines. We have moved into final discussions on the content for the welcome/getting involved dispatch groups. Overall the project is very near-completion and we can expect a launch a few weeks from now during this term.
  • Telegram project: Discussion on criteria for recruitment targets has been re-opened with a lot of new ideas from many members. We are currently finalizing these ideas for a final approval version before moving to developing the software tools and procedure to actualize the plan.
  • Wiki Project: Due to a lack of an active lead in the past, we have not made much progress on the wiki. However, @Comfed was just appointed as the new coordinator for the project, and we hope we can begin making some progress now. Since it is a wiki, contributors will still contribute to it freely as usual.
  • Card Project: We are still discussing the farming setup to get cards for rewards. The current proposals are a government-run farm run by volunteers and a 10KI-style card co-op program for private farms. Major discussion topics including how to recruit volunteers and reward them, and what benefits to offer to co-op program members. Farmers in the ministry have been actively farming to fill up the season 2 storage nations with more copies and transferred bank for future buys and pull events. We have also successfully mass-printed a 1-owner mass copy transfer card to use for any government-related bank transferring purpose. The card will continually be printed in the future every time we use it (via TCALS).
  • Unified application process: Due to unexpected real-life issues from one of the people in charge, we will temporarily use a forum post pinned in the welcome sub-forum which lists links to all the executive branch job forms instead of using a forum form. The unified application form is still in development.
  • Logos: Logos for Assembly, High Court, all government ministries, OWL, and the administration team are fully done. For these bodies, we will export and upload the logos to Imgur on demand. Logos for independent institutions like delegate, CRS,... are still WIP.
  • Theme project: The logo redesign is part of the re-theme.

2020/1/11 update

  • Dispatch project: We have successfully test run the dispatch software with real dispatches and formatting (which you can see here - https://www.nationstates.net/page=dispatch/id=1192500, do note only the proofread-finished dispatches are up-to-date, the remaining ones have outdated content or placeholders). There were some formatting issues related to boxes but they are easy to fix. Cabinet dispatches are under final proofreading before we entirely finish this stage and move forward to the content discussions on the welcome and security dispatches.
  • Graphics and theme: Nothing new since there is no request for new graphics from other government bodies. The new logos in different sizes are still being provided on-demand.
  • Card project: We have finally decided to adopt 10000 Islands's cooperative model for our card farming setup with similar benefit programs seen in other card organizations such as card request, transfer card sharing, lottery, no-heist-and-drop agreement,... The detailed plan document that defines how everything will actually work is currently being worked on. Farmers in the ministry have been contributing bank and needed cards to the storage nations. We also successfully hosted a pull event for the Season 2 CTEed card Abacathea with 40 pulls after delays caused by an anomalous auction. A list of future pull events was also made to promote the card program once it is launched.
  • Telegram project: No progress.
  • Wiki Project: Data from old wiki is being migrated over the new one hosted using our forum server.

2021/2/28 update

 
  • Agenda for this term: We have released our agenda for this term, which you can find here. In summary, we plan to finish and launch the Dispatch Renovation project and Card Organization project, begin implementing recruitment telegrams, continue providing graphics and working on the Wiki, and some reform within the ministry.
  • Migrating from Trello to Kanban: In place of our old Trello boards, we are now using self-hosted Kanban boards to organize our tasks. You can view our boards by clicking on the "details" links in the first post in this thread. With help from our new Kanban boards, we will be setting actual deadlines for tasks.
  • Dispatch project: Our dispatch content work is mostly complete. Nearly all welcome dispatches have been proofread except for two. After this, we will be cleaning up some of the dispatches that have been already written, in addition to working on the remaining few dispatches, which will require some discussion on what they should include.
  • Telegram project: We have re-opened discussion on the telegram recruitment project. Currently, we are working out how to best determine the residency of nations in a way that doesn't require a lot of API calls. This is so that in the future, we can target telegrams to nations with a certain residency.

2021/3/21 update

 
  • Dispatch project: All dispatches have been proofread and all graphics for them have been completed. We are in the final stage of cleaning up remaining formatting errors, finishing the image and law reference BBCode tag system, and doing the last re-reading of everything before discussing the launch of the project.
  • Card project: We have finished discussing all of the details of the card organization. We are moving into actually setting the infrastructure such up, such as sheets, dispatches, forum posts, and procedures, and conducting a name competition with MoC to let citizens pick the name of the organization.
  • Telegram project: We have finally figured out how to filter nations by residency with minimal usage of the game's API and narrowed the telegram recipient list down to just around 100 nations. After a few more things are completed, this project will be moved to planning and implementation.
  • Graphics: All TSP graphics have been moved to our own server for ease of access.
  • The Unified Application Process: This project is put on pause since its developer is busy at this time. We will revive this again once the circumstances allow.

2021/5/11 update

 
  • Dispatch project: All dispatches that are mandatory for launch have been 100% finished. We are checking all dispatches again the final time and making the graphics more fit to the design layout. We can expect an actual launch of the project by the end of this month. If time permits, some of the more difficult dispatches should as Beginner Guide to TSP Politics and High Court-related dispatches will also be finished.
  • Card project: With the name competition concluded, we have begun to work on setting up the program. Expected work includes writing the regulations, setting up information posts/dispatches, sheets, and essential scripts necessary for the card program's primary function. An optimistic estimation for a test launch of the program is the end of this month (with some features missing). A full launch will have to be after this term.
  • Recruitment telegram project: We are still working on the design of the recruitment telegram script, primarily about how to best design it in a way to make modification of the recipient filters as easy as possible for future uses. Once we get the design down, the rest of the work will be easy (mainly writing the telegram content and implementing the script).
  • Wiki project: The TSP Wiki has been expanding under community contributions as normal. We are discussing on the performance of the ministry's contribution to the project, though, since we have had low activity from the project's leadership.
